Managing email domains and addresses
All email addresses follow a <username>@<domain name> format. You can bulk update all workgroup members' domain name and change individual member's username.
Enterprise and workgroup administrators can:
-
Bulk update your organisation's email domain: Use this option when you want to update the email address of all workgroup members. For example, if your organisation has been acquired and the domain name has changed. After bulk update user names will remain unchanged and only the domain name will change.
-
Change a member's email address: When you want to update the username an individual member (for example when a member changes their family name after marriage).
Additionally, email aliasing will continue to work. That is, when a member's primary email address is changed, their user account will continue to be linked with older email addresses. If a notification or invite comes in on an old email address it still reaches the correct user.
It is possible that a member in the same domain or even future domain can have multiple Objective Connect accounts. For example:
-
A member changes their name and the email address has already been processed by a company's IT, but not yet updated in Objective Connect. And they are invited as a participant to a workspace by another member.
-
A company changes their domain but as not yet communicated the change to Objective Connect, and members either self-register or are invited as participants to a workspace.
In each scenario, the member can create workspaces in both accounts, but it is not possible to merge accounts in Objective Connect. To resolve this issue, the member needs to close any workspaces created in the latest account, and the Objective Connect administrator will need to contact Objective Support to:
-
Organise relevant domains to be associated with a workgroup or workgroups.
-
Disable the new account.
-
Enable them to correctly configure the member through Objective Connect administration.
In all circumstances, the best method to prevent this scenario is to initiate the change as an Objective Connect administrator as close to the external email address or domain change event as possible. The longer the time-frame between this event and the Connect administration involvement, the more opportunity for incorrect accounts to be configured.
