Understanding owned domains, workgroups, organisations, accounts, workspaces and shares

A domain can be specified to be owned in Objective Connect, which means that any users that signup for Objective Connect, be it through the integrated repository or the Objective Connect self-registration page will be added to the associated workgroup. This automatic ownership is not always ideal for certain configurations, such as those customers with multiple repositories but the same domain entry. From a Objective Connect owned domain perspective *.test.com matches *a.test.com, b.test.com and any subsequent sub-domain.
The benefit of an owned domain is that a Objective Connect Enterprise administrator has complete visibility and management of all users accessing Objective Connect from their registered domain.

If the domain is not owned then it means that any users that sign up for Objective Connect using the self-registration page for that particular domain will go into their own separate workgroup as a participant. If the user is added using the integrated content repository, then they will automatically be moved into the workgroup associated with the Objective Connect Link agent user.

Domains are needed when you have Objective Connect Link.

An owned Domain means any new users with an email address of that domain will be automatically added to that domain's workgroup.

A domain can have multiple Organisations/Workgroups associated with it.

A customer may have a single domain with multiple sub-domains, or even multiple domains associated to it. Domains can be associated with Objective Connect in order to manage a customer's users more effectively if they are a Cloud only customer or integrated with their content repository.

There can be multiple Organisations/Workgroups within a Domain.

There can be multiple Organisations/Workgroups within an Account.

A workgroup can contain multiple workspaces.

A user can only belong to one workgroup.

An Account can have multiple Organisations/Workgroups associated with it.

An Account has a certain number of Shares it has purchased. One document, shared to one person, is one Share. One document shared to five people, is five Shares. Two documents shared to five people each is 10 Shares, and so on.

There can be multiple workspaces within a workgroup.

Workspaces can only be created if the Connect Organisation (whether the organisation is a company e.g. 'Coca Cola' or an individual e.g. 'Joe Bloggs') is a paid subscriber. If not a paid subscriber then will not be present when the user logs into Objective Connect. This will typically happen if an individual from a company has created an account in Objective Connect which is not associated with their company's workgroup.
